Contract – Technology/Internet/I.T. Based Sector

Scope of Works – Full Facilities Management provision for our clients multiple sites across the UK.

The Brief – Our client recognised that in order to achieve their desired working environment, they needed to take a very different approach to devising and mobilising the FM services for their sites. Flexibility and focus was paramount for the successful integration of their regional offices into its new European head office. Phosters brief was to oversee the integration, engage the new build, oversee and assist in the mobilisation of the move and interface with the base build fit out.

Challenges - Complex delivery requirements resulting from the high tech, critical environment. Infrastructure and Mechanical and Electrical installations represent critical high-risk performance business drivers for our client as they are recognised as the world leader in the provision of solutions for security, availability and integrity of information.

Uninterrupted service provision. The relocation of workspace areas would require the relocation of staff, whilst maintaining operational integrity.

Solution - Assessing the status of FM development and providing analysis to resolve any deficiencies in operations. Creation of an atmosphere of openness, honesty and integrity. Development of a risk management programme, which defines how risks would be managed. The Risk Strategy and supporting plan acknowledged actual and potential threats and determined the activities required to minimise or eliminate them.

Benefit - A work environment that met and supported our clients world leading status. Added value to the process of the helpdesk management by analysing the call and service data to track trends and develop best practise. Highly targeted, innovative and added value solutions were designed to meet the needs of the various stakeholders.

Improved Management Information - Provision of on-site technical services management and M&E engineers to key business critical support systems- generators, UPS and Chillers which lowered operational risk. Development of shared cultures with longer-term strategic goals, working together to make a difference. Regular benchmarking to continuously improve the service.



Contract – City Centre office Development incorporating Head and regional offices

Scope of Works – Facilities Management & Tenant Management Provision

The Brief – Our client wanted a more holistic management discipline, combining the management of Building Facilities and that of its tenant management services (managing rents and service charges) – a unique requirement, a single source turnkey package. The consolidated and integrated solution provided by Phosters covers M&E operations, cleaning, waste, security, office services, landscaping, project management and tenant services, including rent collection. Phosters brief was to deliver a seamless transition programme from the existing incumbent facilities provider and to make the provision of facilities services more environmentally friendly, both in terms of external impact and as a healthy, productive workplace and to undertake the management of its tenant services.

Challenges - Combination of top down management role, with a bottom up service provision philosophy, phasing in and implementing a service operation with no disruption to critical business operations.
Establishing clear lines of communication between the multiple stakeholders during the transition phases.
Create a standard execution policy for property transactions.

Solution - Dedicated transition management programme and team. The establishment of a transparent relationship. Clearly defined project and mobilisation delivery indicators and utilisation of a traffic light system. Integration of TABS (CAFM) Support at an early stage. Consolidation of client portfolio into a single management database. Interrogation of the installed BMS system and a reprogramming to suit occupancy and increase site efficiencies.

Benefits - Total FM and tenant services were transferred in 15 days. All vacant spaces have been let to a further 5 tenants. Increased average unexpired terms to over five years. Total rent roll increased by 85%. Energy savings initiatives aimed to reduce the fuel bill of the building by 10% in 2006/7, exceeded targets. Identification of high base loads allow targeting of no cost/low cost measures to cut overnight electricity use with the minimum of outlay.
